BOARD OF DIRECTORS MEETING MINUTES FOR AUGUST 2, 2010

Directors Present:        Barker, Hancock, Mahorney, B. Mullen, J. Mullen, Strouts

 

Directors Absent:         Jim Crespino, Commodore

 

Others Present:            none

 

Call to order by Vice-Commodore Hancock at 6:40 p.m.

 

Approval of Minutes:   The minutes of the June 14, 2010 Board Meeting were approved as read.

 

Additions to agenda:    Henry Otto's letter to the Board

                                           Slate of officers for 2011

 

Reports:

         Commodore - No report

         Vice-Commodore - Jeff reported that he is aware of the issues with the grounds that need to be addressed such as the outlet at the shelter, tractor maintenance, and the boat lift.  He will take care of the items club members have   voiced concerns about.

         Rear Commodore -   Bob reported that we need to be vigilant about the dock, which was almost against the shelter. Because of damage like broken hinges and part of the walkway missing, it will take considerable work to repair the dock.

         Treasurer -   Jonathan reported that we have a little over 10,000 in the account.

         Secretary -   No report

         Race -   Daryl reported that due to high water and no access to the club racing has been suspended.  There is interest in racing in August.  The Race Committee would like to get in 3 more races for the season.  As liaison to the Sea Scouts, Daryl noted that Sea Base was cancelled this year because of the high water at the Club.

         Social -   Jane reported that due to high water the Aug. 21st Pirate Party will be held on the other side of the cove using a shelter free of charge. This will be a pot luck with the meat provided by the club.  A group called Professional Pirates will provide entertainment. The next social event will be the Pig Roast on Sept. 18th.  A  work day is scheduled that day along with a Board meeting before the Pig Roast. The Sale and Sail, which had  been moved to June 19th, was held in spite of a storm with gusts up to 60-80 MPH. Twenty members braved the  storm to sell/exchange/gift sailing paraphernalia. It was too stormy to sail, but the vendors were so happy with the event that it will be scheduled again next year.

 

Old Business:

 

         Rear Commodore     It was moved, seconded and passed that Bob Mullen serve as Rear Commodore for the remainder of the season.

 

         Committee Boat     The committee boat is still over at Randy's in Junction City. Since the racing season is suspended, this is not a problem right now.

 

         New Member Orientation     After a lengthy discussion of the benefits of a systematic new member orientation, including how orientation has been handled in the past, it was moved, seconded and passed that the current Board recommend to next year's Board that they adopt an orientation policy. Specific suggestions included:when a check is received, a new member gets an official welcome to the club email the new member is then assigned a specific person who will show him or her around the club

Jeff volunteered to show new members around the grounds and answer any questions.

 

         Orphan boats     Because of non-payment of dues and fees, Loretta Johnson needs to be contacted regarding the Sea Wolf, which has been on the grounds all year.  It is the Secretary's duty to send written notification that a boat abandoned on the BVYC grounds becomes BVYC property to be disposed of according to BVYC policy.  Bob Mullen will attempt to collect the back dues and fees before formal action is taken.

 

New Business:

 

         USACE Inspection Report and Action   The fire extinguishers were recharged to meet compliance.  There was discussion regarding the concrete ramp and ADA compliance. Because we are a private club, our private ramp should not be subject to ADA regulations. Jeff offered to discuss this issue with the Corps and report to the BOD. Jeff will also ask that our $1,000 fee be forgiven because of the lack of access to the grounds. Jonathan will send a copy of our insurance policy to the Corps as they requested.

 

         Plan for Moving Boats   This topic brought up Henry's concerns voiced in his letter to the BOD. The club could be held responsible if a boat were damaged while club members moved it.  Henry's suggestion is that people sign a waiver stating they will not hold the club responsible if they are not present when the BVYC moves their boat.  It was moved, seconded and carried that for the next meeting we draft a policy to address moving boats on the BVYC grounds at the discretion of the Vice-Commodore and/or other Board Members.

 

         Clean up and Work Days    Jeff will send an email notifying members that Aug 14th is the official day for moving boats back down the hill.  We will have another clean up day Aug. 28th.  Ferry service will be provided if necessary .Sept. 21st is another work day.

 

         Vacationing Members   When members are on vacation, sailors need to keep an eye on their boats in the harbor.  If something      doesn't look right it should be reported to the harbor master or another board member.

 

         Henry Otto's Letter to the Board     The second issue in Henry's letter was the Club insurance policy.  It was moved, seconded and approved that the board review our current policy.  This is in light of certain attractive nuisances such as the tractor. A lengthy discussion of how to control access to the tractor ensued.  Currently the only people authorized to use the tractor are Bartholomew, Oaklief, Hays, Crespino, Kettelson, and Lindgren.

 

         Slate of Officers for Next Year    We need to ask any interested parties to run for an office.

 

The next meeting will be decided at a later date.
